What do the different statuses mean for my recorded hours entries?

Each hours entry your team records in Harpoon is given a status, and each of these statuses have a different meaning:

  • Unbilled
    • Available for Hourly projects.
    • The client has not yet been billed for these hours.
    • Hours can be added to an invoice.
    • An inherent value is associated with the hours.
    • An inherent cost is associated with the hours.
  • Billed
    • Available for Hourly projects.
    • The client has already been billed for these hours.
    • Hours can no longer be added to an invoice.
    • An inherent value is associated with the hours.
    • An inherent cost is associated with the hours.
  • Non-Billable
    • Available for Hourly, Fixed Fee, and Non-Billable projects.
    • The client cannot be billed for these hours.
    • Hours cannot be added to an invoice.
    • NO inherent value is associated with the hours.
    • An inherent cost is associated with the hours.
  • Fixed
    • Available for Fixed Fee projects.
    • The client is billed for these hours via a fixed fee.
    • Hours cannot be added to an invoice.
    • An inherent value is associated with the hours.
    • An inherent cost is associated with the hours.

Each recorded hours entry is given a default status based on the type of project (Hourly, Fixed Fee, or Non-Billable) the hours are recorded for:

Project Type: Hourly
Default Hours Status: Unbilled

Project Type: Fixed Fee
Default Hours Status: Fixed

Project Type: Non-Billable
Default Hours Status: Non-Billable

You can edit the status of any recorded hours entry by editing the entry and changing the "Status" field on the Edit Recorded Hours form. For example, you might have a recorded hours entry with the status of "Unbilled," but in reality those hours might be for work you can't bill your client for. In that case you can edit the recorded hours entry and change its status from "Unbilled" to "Non-Billable." The result will be that the recorded hours entry will not be available for adding to an invoice, and the entry will no longer have any inherent value assigned to it in your Harpoon account because the hours are now non-billable.
